Art Production Coordinator
About the role
The Art Production Coordinator plays a vital role in supporting the production team to ensure smooth and efficient operations throughout the game development process. This role involves coordinating schedules, managing resources, tracking project progress, and facilitating communication between various departments. The coordinator ensures projects are delivered on time and within budget while fostering collaboration and organization across the production pipeline.
Responsibilities:
Scheduling and Planning
- Develop and maintain production schedules, ensuring all milestones and deadlines are met.
- Coordinate meetings, reviews, and production activities, keeping teams aligned.
- Maintain updated documentation of timelines and deliverables.
- Track and manage resources, including personnel, equipment, and materials.
- Assist in allocating resources based on project priorities and availability.
- Monitor and report on resource needs to the Production Manager.
- Track project progress and maintain updated tracking systems.
- Generate and distribute progress reports to stakeholders and production teams.
- Identify and address potential risks or issues that may impact timelines.
- Act as a central point for communication, ensuring alignment across departments.
- Coordinate with external vendors, contractors, and partners for timely deliveries.
- Provide production-related support and solutions to team members.
- Maintain organized records of production activities, schedules, and budgets.
- Prepare and distribute meeting notes, agendas, and action items.
- Assist in reviewing project deliverables to ensure they meet quality standards.
- Document and communicate feedback and revisions effectively.
- Provide administrative support, including managing calendars and travel arrangements.
- Assist with on-boarding new team members, ensuring access and equipment needs are met.

Experience and skills
- Proficiency in project management software and tools, such as Microsoft Project, Asana, Trello, Jira, or similar.
- Strong organizational and time management skills, with the ability to manage multiple tasks and projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams.
- Attention to detail and a high level of accuracy in documentation and reporting.
- Problem-solving skills and the ability to adapt to changing priorities and deadlines.
- Familiarity with the game development process and production workflows is a plus.
Qualifications:
- Bachelor's degree in Project Management, Business Administration, Communications, or a related field (preferred but not required).
- 2+ years of experience in a production coordinator or project management role, preferably in the gaming or entertainment industry.
- Experience with project management software and tools.
- A proactive and collaborative attitude, with a willingness to take initiative and support the team.
